Florida Vital Records Apostille From Abroad: The Two-Step Route Through Health and State
A Florida vital records apostille is a two-step job. The Department of Health’s Bureau of Vital Statistics in Jacksonville issues the certified record, then the Department of State in Tallahassee adds the apostille for $10 per document. The state does not publish a processing time, so what you order and when you order it decides how long you wait.
Why Florida is not a single-office state
Say a couple married in Fort Lauderdale five weeks ago and a consulate abroad wants the marriage certificate apostilled for a spouse visa. The Department of Health has no copy yet. Florida marriage records only reach the state registry about 60 days after the clerk of court records and forwards them, so early on the certified copy comes from the clerk.
That one timing detail changes which office you start with. For older marriages, divorces and all deaths, the Department of Health publishes separate apostille application forms for each record type, and the health department sends the issued record on to the Department of State for the apostille. For fresh records, the county clerk is the source and the Department of State’s acceptance of a clerk-issued copy is not confirmed.
Order the record the way Florida’s own forms describe it, and let the health department hand it to the apostille office.
Birth, marriage, death and divorce in Florida
Prices below are the Department of Health’s own figures. The Department of State’s page blocked automated reading, so the apostille rules for clerk-issued copies are marked for confirmation.
| Record | Who issues the copy | What to know about it | Copy fee | Apostille path |
|---|---|---|---|---|
| Birth | Bureau of Vital Statistics in Jacksonville or a county health department. | Carries the State Registrar signature. Pre-2004 records print limited information, so ask for the photocopy certificate with full detail. | $9 computer certification, $14 photocopy certificate. | Form DH726A, then the Department of State. |
| Marriage | Bureau of Vital Statistics for marriages from 6 June 1927, once recorded. Clerk of the circuit court for earlier or very recent ones. | The health department issues an abstract of the license. The clerk issues the certificate. | $5.00 search fee including one copy, $4.00 each additional. | Form DH261A, then the Department of State. Clerk copies: confirm with the office. |
| Death | Bureau of Vital Statistics, or a county health department for 2009 to the present. | Two types: without cause of death (anyone 18 or older) and with cause (confidential for 50 years, eligible applicants or a notarized affidavit). | $5.00 including one copy, $4.00 each additional. | Form DH727A. Which type the state prefers is not stated, so confirm. |
| Divorce | Bureau of Vital Statistics issues an abstract of the dissolution of marriage, not the decree. The full judgment comes from the clerk of the circuit court. | Ask the foreign office whether an abstract is enough or a full judgment is required. | Same $5.00 and $4.00 schedule at the health department. Clerk fee: confirm. | Form DH260 for the abstract. Clerk-certified decree: confirm with the office. |
How to apostille a Florida birth certificate
Use application DH726A so the Bureau of Vital Statistics issues the record and passes it to the Department of State in Tallahassee.
What we know about the Department of State apostille desk
Florida’s apostille authority is the Division of Corporations, Apostille Section, within the Department of State. The fee is $10 per document. Our research shows the Section at 2415 North Monroe Street, Suite 810, Tallahassee, FL 32303, and a post office box at P.O. Box 6800, Tallahassee, FL 32314-6800. The Department’s own web page blocked automated reading when we checked, so we verify the address by phone with every order. Most walk-ins are handled while you wait, and mail goes in the order received.
The Department of Health explains how its half of the process works on its apostille and notarial certificates page. Birth, marriage, death and dissolution each have a separate application. The health department issues the certified record and forwards it to Tallahassee by UPS, so a documented route exists even if you are overseas.
One practical option is VitalChek. It can run the health step and the forwarding to the Department of State for an extra $7 on top of the agency fees and two UPS fees. For people abroad, that is often simpler than juggling two payments. We use the route that gives the cleanest chain for your document.
Health first, then State
The clerk’s box in the diagram is the one with open questions. If your record comes from a clerk, ask the Department of State first.
A practical order of steps if you live outside the United States
- 1
Match the record to the form
Pick the apostille application for your record type: DH726A for birth, DH261A for marriage, DH727A for death and DH260 for a dissolution abstract. Using the wrong form is how an order stalls.
- 2
Decide how recent your event is
A marriage or divorce from the last two months may not yet be at the health department. In that case the clerk of the circuit court is your source, and we confirm the Department of State’s view first.
- 3
Choose the death record type
A death certificate without cause of death is public for anyone 18 or older. The version with cause is confidential for 50 years and needs eligibility or a notarized affidavit. Ask the receiving authority which it wants.
- 4
Send payment and identification the way DOH asks
The health department charges $5.00 for a search that includes one certified copy, with $4.00 for each additional. VitalChek charges $15 for the first copy plus $7 processing. Where Florida lets an authorized third party order the record, we can do that, and the free review shows whether your record qualifies.
- 5
Plan the courier home
Tallahassee observes Eastern Time like Boston and Tewksbury, so a call to the Apostille Section is a normal afternoon in Europe. Book DHL, FedEx or UPS with tracking for the apostilled set. Customs delays are possible.
Six Florida mistakes that cost a month
Marriage not yet at DOH
DOH holds a marriage only after the clerk records and forwards it, about 60 days. An order placed in week three comes back with no record found.
Wrong divorce document
The health department issues an abstract of the dissolution. A court abroad may want the full judgment from the clerk. Ask first.
With or without cause
Florida issues two death certificates. The version with cause of death is confidential for 50 years. Ask the receiving authority which it wants.
Pre-2004 certificate
Records before 2004 print limited information. Order the photocopy certificate for full detail.
Application mismatch
DOH uses DH726A, DH261A, DH727A and DH260. Sending the wrong form stalls the forwarding to Tallahassee.
Unconfirmed acceptance
The Department of State’s view of clerk-issued marriage and divorce copies is not confirmed on pages we could read. Ask before you pay.
Where Florida families send these papers
Argentina
Argentina has been a Hague party since 1988 (HCCH status table). Its migration pages for temporary residence as a rentista, pensionado or student accept foreign documents with an apostille. Documents in another language must be translated by a traductor publico nacional, and the translation legalized by the Colegio de Traductores. We offer ATA certified translations with a notarization. We are not a sworn translator and we do not arrange sworn translations, so for the Argentine translator requirement you hire the translator there and we ship the apostilled set to them.
Mexico
Mexico has been a party since 1995, so a Florida apostille is the correct form of authentication. We have not confirmed current consulate checklists for residency, so ask which Florida records it wants and the issue date it expects. Our Mexico guide in Spanish covers the destination side.
Both Florida steps, handled from Tewksbury
We run a private document preparation and courier service from Tewksbury, Massachusetts, serving the Boston area and clients overseas since 2007. For a Florida record we choose the right route, prepare the health and state steps, and send the apostilled set to you.
The Massachusetts rates on our pricing page ($149.95, $199.95 and $385.95) are not Florida prices. For Florida we confirm the state fee and speed in the free document review and send one flat-rate quote before you pay. Rush is the fastest tier, Express is 2 to 5 business days, Economy is 1 to 2 weeks, and transit is extra. In Florida the state office sets the real pace. See pricing and how it works, then start your order or call (978) 424-4629.
The Department of State, the Department of Health and every consulate are separate from us. We are not affiliated with them.
Florida vital records apostille questions
How do I get a Florida record apostilled from abroad?
Order the certified record from the Department of Health using the apostille application for your record type, or from the circuit court clerk for a decree. The record then goes to the Department of State in Tallahassee for the $10 apostille. We choose the route, handle both steps and ship the set abroad.
What is the two-step process for Florida vital records?
First the Bureau of Vital Statistics issues the certified record on an apostille application. Then the Department of State, Division of Corporations, attaches the apostille. The health department forwards the issued record to Tallahassee by UPS. VitalChek can run both steps for an extra $7 plus agency and UPS fees.
How much does a Florida apostille cost?
The Department of State charges $10 per document. The Department of Health charges a $5.00 search fee that includes one certified marriage or death copy, then $4.00 per additional copy. A birth certificate is $9 for a computer certification or $14 for a photocopy certificate. Our own fee is quoted after the free review.
How long does a Florida apostille take?
The Department of State does not publish a processing time. Mail is handled in the order received, and most walk-ins are completed while you wait. The health step and shipping add days. We confirm current timing in the free document review.
Why does the health department have no copy of my recent Florida marriage?
Marriage records reach the Department of Health about 60 days after the clerk of court records and forwards them. Until then, the clerk of the circuit court in the county that issued the license is your source, and the Department of State’s view of a clerk-issued copy is unconfirmed.
Is a Florida dissolution of marriage certificate the same as a divorce decree?
No. The Department of Health issues an abstract of the dissolution, not the judgment. The full decree comes from the clerk of the circuit court in the county where it was granted. Ask the receiving authority which one it needs, then confirm the apostille rule with the Department of State.
Which Florida death certificate do I need?
Florida issues one without the cause of death, available to anyone 18 or older, and one with it, confidential for 50 years. The Department of Health’s page does not say which version the Department of State prefers. Ask the receiving authority and confirm with the office.
Does VitalChek handle the apostille step as well?
It can. VitalChek orders the Department of Health record and can forward it to the Department of State for an extra $7 plus agency fees and two UPS fees. It charges $15 for the first copy plus $7 processing. We compare that route with a direct order for each client.
