Idaho Vital Records Apostille: Boise Appointments, Mail and the $10 Fee

An Idaho vital records apostille comes from the Secretary of State’s Notary Department in Boise for $10 per document, after the Department of Health and Welfare or a county has issued the certified copy. The office works by appointment only, with a gap from noon to 2, and it also takes mail with a prepaid return airbill. It publishes no processing time. Here is the order of steps if you are overseas.

Idaho apostilles its own vital records, by appointment or by mail

Imagine someone raised in Boise who now lives in Valencia and needs an Idaho marriage certificate for a Spanish residence file. Idaho makes the job simple on paper. One office, the Secretary of State’s Notary Department, apostilles Idaho records. The fee is $10 per document. What trips people up is the counter. Walk-ups do not exist. Every apostille is by appointment, and the schedule skips the lunch hours.

That suits you if you are overseas, because the mail route is spelled out. The Secretary of State’s apostille page says requests may be submitted in person or by mail, with the document, a completed request form in English or Spanish, the fee and the name of the destination country. Idaho can only certify documents issued by Idaho officials or notarized by Idaho notaries.

For an apostille the Secretary of State lists birth and death certificates, marriage licenses, divorce decrees and court orders as examples of public documents. A Health and Welfare page on marriage and divorce records adds that the Department can issue a certification of records search for people marrying abroad. It says nothing about apostilles, so ask the Secretary of State before you count on that letter. The signatures kept on file are not stated either. That is one more reason to order a fresh certified copy.

Divorce decrees start at the county courthouse instead, and the Secretary of State says public documents include those issued by a court or clerk of a court. It describes no judge certification step.

The Secretary of State, step by step

Booking, mailing and getting the original back

Appointments can be booked on the office’s online scheduler or by calling (208) 334-2301. Slots run 8 to 12 and 2 to 4 Monday to Friday, Mountain Time, and none are offered between noon and 2. Boise is eight hours behind Madrid all year, apart from a few weeks when daylight saving dates differ, so the afternoon slots land late at night in Spain. That is a good reason to use the mail route or someone local.

Payment is by check or money order made out to the Secretary of State, or by credit card. For mail, send everything to Secretary of State’s Office, Attn: Notary Department, PO Box 83720, Boise, ID 83720-0080. Overnight couriers use the street address, 450 N. 4th Street, Boise, ID 83702, and a prepaid, pre-addressed airbill inside the packet brings the apostille back overnight. The office returns documents by first-class mail otherwise. Its page publishes no processing time, only that requests are handled daily as received, and it advises allowing for mail both ways.

A realistic timeline when you are not in Idaho

  1. 1

Work out who may order, then order

The Department of Health and Welfare publishes the ordering rules for each record type, and recent marriages and deaths may be limited to eligible requesters. We can help obtain the certified copy only where Idaho allows an authorized third party. The free review is where we check.

  2. 2

    Add a courier-ready packet

When the certified copy arrives, add the request form, the destination country, the fee and a prepaid airbill. Ask whether your copy needs the Bureau’s signature on file. The Secretary of State does not say.

  3. 3

Send it before you worry about the calendar

With no published turnaround, build in a week for the state, plus courier time each way. DHL, FedEx and UPS commonly take two to five business days to Europe or Latin America, depending on the service.

  4. 4

    Check the apostille on arrival

Make sure the apostille is attached to the certified copy itself, the destination is named and nothing is stapled loose. Keep the tracking number until the foreign office accepts it.

Where it goes wrong in Idaho

Six ways an Idaho file stalls or bounces

No appointment

Turning up at the Boise counter

The office takes visitors by appointment only, and nothing is available from noon to 2.

Out of state

A notarized copy from another state

Idaho cannot apostille what a notary in another state notarized. That state’s own office does it.

Wrong divorce paper

The state certificate instead of the decree

The Health and Welfare certificate lacks the decree’s detail. A foreign court may want the decree from the county.

Missing country

Leaving off the destination

The request form wants the name of the country, because it decides apostille or legalization.

Not certified

A photocopy or an uncertified print

The Secretary of State asks for a certified copy, or an original notarized by an Idaho notary.

Cash

Paying in large bills

The office keeps little change. Use a check, money order or card.

Using it abroad

Spain and Chile, where Idaho families most often send paper

Spain is a Hague party, so an Idaho apostille is the authentication. The Spanish consulate in Boston, which takes applicants from New England only, says family documents such as marriage certificates must be apostilled, that marriage and similar civil documents (birth certificates excepted) be issued within the last 12 months for the non-lucrative visa, and that mandatory items be in Spanish. The same page says a translation needs no apostille and an apostille needs no translation. Idaho residents file elsewhere, so ask your consulate for its own age rule. See the HCCH status table.

Chile is also a party. For its student residence permit, the migration service sets a 60-day window for public documents and asks for an official translation only if a document is not in Spanish or English. Other permits give different windows, so read your own page. A 60-day clock means you should order the certificate late and the apostille fast. We can provide ATA certified translations that get notarized. We are not a sworn translator and we do not arrange sworn translations, so a destination demanding one means hiring a sworn translator there while we ship the apostilled set.

What we do and what it costs

An Idaho file handled from Tewksbury

We are a Massachusetts team, so we do not pretend to be in Boise. We review your Idaho documents for free, tell you whether the copy is the right kind, and can send the packet to the Secretary of State with payment and a return label to you. Our published prices cover Massachusetts: $149.95 Economy, $199.95 Express and $385.95 Rush per document, state fee and return postage included.

For Idaho we confirm the state fee and speed during the free review and send one flat-rate quote before you pay. Rush is the fastest level, one to two days for Massachusetts and New Hampshire documents, and for other states it depends on the volume at the state office. Express is two to five business days and Economy one to two weeks, with transit extra. Read the pricing page and how it works, or start your order.

We are a private document preparation and courier service in Tewksbury, Massachusetts. We are not affiliated with any state office, school or consulate. Hablamos Español. Call Monday to Friday, 10am to 5pm Eastern, on (978) 424-4629.

Idaho questions

Answers before you book a Boise appointment

How do I get an Idaho record apostilled from abroad?

Order a certified copy from the Idaho Department of Health and Welfare or the county, then mail it to the Secretary of State in Boise with the request form, the $10 fee, the destination country and a prepaid return airbill. The office publishes no turnaround, so add mail time both ways. We can handle the U.S. steps.

Who apostilles an Idaho birth, marriage or death certificate?

The Idaho Secretary of State, Notary Department, in Boise. It lists birth and death certificates, marriage licenses and divorce decrees as accepted examples. The state fee is $10 per document. Idaho can only certify records issued by Idaho officials or notarized by Idaho notaries, so records from other states go to those states.

Do I need an appointment at the Boise office?

Yes. Apostilles are by appointment only, booked online or at (208) 334-2301. Slots run Monday to Friday, 8 to 12 and 2 to 4 Mountain Time, and none are offered between noon and 2. Mail requests need no appointment, so most people abroad use mail or a local helper.

How long does an Idaho apostille take?

The Secretary of State publishes no day count. It says requests are processed daily as received and returned by first-class mail unless you enclose an overnight airbill. Allow time for ordering the certified copy, mail in both directions and the courier to your country. Our Rush level cannot shorten the state step.

Is the Idaho divorce certificate enough for a foreign court?

Often not. The Health and Welfare certificate shows that a divorce occurred but lacks the decree details. The decree comes from the county court that granted it. Ask the receiving authority which one it wants, then confirm with the Secretary of State that it will apostille the court copy you hold.

Can someone order my Idaho record for me?

Only where Idaho allows it. Marriage and death records are confidential for 50 years, and the ordering rules come from the Department of Health and Welfare. We help obtain a certified copy only where the state lets an authorized third party ask, and we check that during the free review.

Does Idaho offer an e-apostille?

We found no e-apostille option on the Secretary of State page. It accepts credit cards, and booking is online, but the apostille is attached to a paper document. Ask the office before assuming an electronic version exists or would be accepted abroad.

Does a Spanish or Chilean office need a translation of my Idaho certificate?

Spain wants mandatory documents in Spanish, and the consulate says translation and apostille are separate steps. Chile asks for an official translation only when a document is not in Spanish or English. We provide ATA certified translations that get notarized, but we do not arrange sworn translations.
