South Dakota Vital Records Apostille: Seal First, Then the $25 Apostille in Pierre

A South Dakota vital records apostille is stamped by the Secretary of State’s Apostille Office in Pierre for $25 per document, and mail is processed within 2 business days of receipt. The office will only touch a certified copy that carries the raised or stamped seal of the issuing office. Informational copies are out, and so are notary copies. Get the right copy from the Department of Health or a county Register of Deeds first.

The rule that decides everything

A copy without the seal is just paper in Pierre

Take a descendant in Rome who is collecting a grandfather’s marriage and death records from a county in South Dakota. Each office offers an informational copy and a certified copy at the same $15. The informational one looks fine and costs the same. The Secretary of State will not apostille it. Only the certified copy qualifies.

South Dakota’s rule is one of the clearest of any state. Marriage, death and divorce documents are treated as state or local documents. The original or certified copy must bear the raised or stamped seal of the court or the vital records office. They cannot be notarized as true copies. The issuing agency certifies them first.

That gives you a simple test. Hold the copy up. If it has a seal you can feel or an official stamp, and a real signature, you are probably fine. If it is a scan, a plain printout or something a notary has attached a stamp to, it will not pass. Documents issued by another state or by the federal government cannot be authenticated here either.

Certified, sealed, original. Anything else comes back unstamped.

What to ask for

Birth, marriage, death and divorce in South Dakota

Nothing here needs a county clerk certification step. The seal and signature of the issuing office are what Pierre looks for.

Where the apostille comes from

The Apostille Office, Capitol Avenue, Pierre

The South Dakota Secretary of State’s apostille page gives a mailing address of Attn: Apostille Office, 500 E. Capitol Ave., Pierre, SD 57501. Drop-off and appointments are at the same street address, Suite 112, Monday to Friday, 9:00 a.m. to 4:00 p.m. The fee is $25 per document, and expedited appointments add $50.

The office says originals must be mailed or dropped off. Emailed or faxed documents are not processed, and it describes no e-apostille. For a reader overseas, one detail stands out: the office does not accept DHL for returns. If you plan to receive the finished set by DHL, tell us. We receive it by another carrier and forward it on the courier you choose.

The page does not describe how it treats a payment or return label from a foreign address, so ask before you rely on one. A US bank check or money order is the safe form of payment for a mailed file.

From abroad

How to apostille a South Dakota birth certificate from overseas

  1. 1

Check the paper you already hold

Scan it and send it to us. In two minutes we can tell you whether it is certified or merely informational.

  2. 2

    Order a certified copy

Pick the Department of Health or a county Register of Deeds. Both charge $15. State rules on who may order, and what ID they need, belong to the office, so read its page. Where South Dakota allows an authorized third party, we can help obtain the copy, and we confirm that in the review.

  3. 3

    Inspect the seal

Raised or stamped, with a signature. If the copy reaches you overseas, do not lose time with a notary. A notarized copy is a different thing and will fail.

  4. 4

Mail or deliver it to Pierre

The state fee is $25 per document. After arrival, mail is processed within 2 business days. An expedited appointment is available for $50 more, but appointments are held at the Pierre office.

  5. 5

    Choose your carrier

FedEx or UPS reach most European and Latin American cities in roughly two to five business days. Skip a DHL return label inside the envelope.

Pierre keeps Central time. Rome is seven hours ahead for most of the year, so the best window to phone the office is your late afternoon.

Where it goes wrong in South Dakota

Six reasons Pierre sends a record back

1 · Wrong copy type

The informational copy

Marriage and birth offices issue informational copies at the same fee. Ask for certified, and say the purpose is an apostille.

2 · Notary route

A notarized true copy

The Secretary of State says these records cannot be notarized as true copies. The issuing agency must certify them.

3 · No seal

A scan or a plain printout

The original or certified copy must bear the raised or stamped seal. A copy you made at home does not.

4 · Carrier

A DHL return label

The office does not accept DHL for returns. Use another carrier or let us receive the set.

5 · Delivery

Documents sent by email or fax

Originals only. An emailed or faxed file is not processed at all.

6 · Wrong issuer

A record from another state or a federal agency

Pierre cannot authenticate documents issued by other states or the federal government. Each goes to its own authority.

Using it abroad

Italy and Croatia, the two requests we see most

Italy

Italy has been a Hague party since 1978, so the South Dakota apostille is the only US-side stamp. The Italian consulate in Chicago’s checklist, version dated August 2026, asks for apostilled US birth, marriage and death records of the Italian line, as long-form certified copies with a typed Italian translation. Italian citizenship by descent rules tightened in 2025, so check eligibility first. An apostille proves a paper is genuine. It does not make you eligible.

Croatia

Croatia is a Hague party by succession, and its Ministry of Foreign and European Affairs says a single authentication by the issuing country’s competent body is enough. What the Croatian consulate wants for a stay permit or a citizenship file, and whether a Croatian court interpreter must translate, we could not confirm. Ask your own office before you order.

We can provide ATA certified translations that get notarized. Sworn translation is different: we are not a sworn translator and we do not arrange it, so if the destination demands one, hire a sworn translator there and we will ship the apostilled set to them. Check other countries on the HCCH status table.

Our part

What we do for you, and what it costs

Send scans and we check them against Pierre’s seal rule. We then work out where the right copy comes from, help obtain it when the state lets an authorized third party do so, deliver the file to the Apostille Office, pay the $25 and send the finished set where you are. Case updates run through ApostilleDesk. Our how it works page has the stages.

Published rates exist only for Massachusetts: Economy $149.95, Express $199.95 and Rush $385.95 per document, with the state fee and return postage included. A South Dakota file is quoted on its own. The free review confirms the state’s fee and likely speed, and a single flat-rate quote reaches you before you pay. Rush is fastest, Express takes 2 to 5 business days and Economy 1 to 2 weeks, with transit extra. South Dakota timing follows what the state office is handling. See apostille pricing.

South Dakota questions

Frequently asked questions

How do I get a South Dakota record apostilled from abroad?

Order a certified copy with the raised or stamped seal from the Department of Health or a county Register of Deeds, then mail the original to the Secretary of State’s Apostille Office in Pierre with $25 per document. We can handle each step and ship the finished set to you.

Why was my South Dakota certificate rejected?

The usual cause is an informational copy, a notarized true copy, or a copy without the raised or stamped seal. The Secretary of State requires a certified copy from the issuing agency. Other causes are emailed or faxed documents and records issued by another state.

How long does the South Dakota apostille take?

The Secretary of State says mail is processed within 2 business days of receipt. Add the time to obtain the certified copy, which the pages we read do not publish, and the courier days both ways. Expedited appointments cost $50 more and are held at the Pierre office.

How much does a certified copy cost in South Dakota?

The Department of Health charges $15 for a certified or informational copy, and a county Register of Deeds charges the same, according to the sources we read. The apostille is a separate $25 per document. A divorce decree from the Clerk of Courts has its own fee that we could not confirm.

Where do I get a South Dakota divorce record apostilled?

A divorce certificate comes from the Department of Health only, while the full decree comes from the Clerk of Courts in the county where the divorce was granted. Pierre wants the issuing office’s raised or stamped seal on either, never a notary. Decide with the receiving authority which one it needs.

Does DHL work for the return shipment?

Not for the state office. The Secretary of State says it does not accept DHL for returns, so a DHL label inside your envelope will cause trouble. Use another carrier, or let us receive the apostilled set and send it onward on the courier you prefer.

What does a South Dakota apostille cost with your service?

We publish prices for Massachusetts only. A South Dakota order starts with a free review and ends with one flat-rate quote, which you approve before paying. The state’s own fee is $25 per document. Ask us about a volume discount if you have several records.

Not sure your copy has the seal?

Send us a scan. We tell you whether Pierre will accept it, and what to order if not.
