Tennessee Vital Records Apostille: The Two-Check Shortcut and the Two-Year Rule

A Tennessee vital records apostille costs $2 per document at the Secretary of State’s Office of Authentications in Nashville. Tennessee Vital Records will obtain the certified copy and the apostille in a single request if you send two checks, one for each office. A birth certificate must have been certified within the past two years. The state publishes no mail turnaround, but a walk-in is served the same day if you arrive by 2 p.m.

What makes Tennessee different

One request, two checks, and a copy that goes stale in two years

Imagine a family from Knoxville now living near Seville. They need their child’s birth certificate apostilled for a residence file. The copy in the safe is from the hospital paperwork years ago. In Tennessee that copy is too old, because a birth certificate has to be certified within the past two years. A fresh one is needed before any apostille is possible.

The Tennessee shortcut helps here. The state’s own vital records help pages explain that you can apply to Tennessee Vital Records for both the certified copy and the apostille. You write one check to Vital Records for the copy and a second, for $2 per document, to the Secretary of State. Vital Records prepares the certified copy and forwards it to the Secretary of State for you.

The state apostille covers documents executed, issued or certified by Tennessee county clerks, the State Registrar and the Secretary of State. A State Registrar copy goes direct. A copy issued by a county clerk is certified by that clerk. A hospital souvenir certificate or a church record is not on that list.

Ask Vital Records to send it on. That saves one envelope across the Atlantic.

Birth is confirmed. For the other three, fees come from search snippets of the Vital Records help center, and the age rule beyond birth is not stated.

The state apostille office

Authentications on Rosa L. Parks Avenue

The Tennessee Secretary of State’s apostille guide sends mail to the Office of Authentications, Business Services Division, ATTN: ATS Section, 312 Rosa L. Parks Ave, 6th Floor, Nashville, TN 37243. The request form is SS-4504, and the fee is $2 per document. In-person service is at the 3rd Floor desk of the same building, from 8:00 a.m. to 4:15 p.m. Central.

Arrive by 2:00 p.m. and the state serves you the same day. That works for a courier or a friend, but not for someone in another country. The office offers no e-apostille. Its online check of an apostille’s validity covers only apostilles filed on or after 24 March 2014.

Two more facts matter if your destination is outside the Convention. Tennessee’s page says such an authentication then needs certification from the US Department of State. And if you ever add a notarized document to the package, the county clerk must certify the notary’s signature before the Secretary of State will apostille it. Vital records skip that step. How to apostille a Tennessee birth certificate while you live overseas

  1. 1

    Send us what you hold

We look at the date on the copy first. For a birth certificate, anything certified more than two years ago needs replacing.

  2. 2

    Choose the bundled order

Ask Tennessee Vital Records for the certified copy and the apostille together. Who may request a record and what identification it needs are the office’s rules, so read its page. Where Tennessee allows an authorized third party, we can help obtain the copy, and we confirm that in the review.

  3. 3

    Handle the two payments

The state wants two checks. Paying them from a foreign account is the hard part. When you hire us, we handle the payment and you pay one flat rate.

  4. 4

Wait for the copy, then Nashville

The pages we read do not publish a mail turnaround at the Secretary of State, so assume days rather than hours. A walk-in served by 2:00 p.m. gets same-day service.

  5. 5

    Send the set abroad

Courier delivery to Europe or Latin America usually runs two to five business days. Pick a service with tracking and a delivery signature.

Nashville is on Central time. Seville is typically seven hours ahead, so a call to Vital Records from your morning hits the US office just after it opens.

Where it goes wrong in Tennessee

Six causes of a refusal or a long wait

Age

A birth copy over two years old

Tennessee wants a birth certificate certified within the past two years. Order a fresh one even if the old copy looks perfect.

Payment

One check instead of two

The bundled route needs one check to Vital Records and one to the Secretary of State. Mixing them up stalls both.

Marriage

The wrong office for an old record

The state’s pages are not consistent about which office holds older marriage records. Confirm before you pay for a copy.

Online

Ordering marriage through the help center

The state help center says marriage certificates are not available through it. Use the application form for a marriage copy.

Divorce

A certificate when a decree is needed

Form PH-1671 gives a certificate of divorce. A foreign court or registry may want the decree from the court clerk.

Timing

Planning around a same-day service

The same-day desk closes the loop only if someone is in Nashville by 2:00 p.m. A mailed file has no published turnaround.

Using it abroad

Spain and Argentina, the requests we see from Tennessee

Spain

Spain has been a Hague party since 1978. The Spanish consulate in Boston’s non-lucrative visa page asks for family documents such as a marriage certificate to be apostilled and, on that page, issued within the last 12 months. Birth certificates are excluded from that 12-month rule, but Tennessee’s own two-year rule still applies to them. Check the page for the consulate that serves you.

Argentina

Argentina has been a Hague party since 1988. Its immigration pages for temporary residence as a rentista, pensionado or student say foreign documents need an apostille, must be originals and, if not in Spanish, need a translation by a traductor público nacional legalized by the Colegio de Traductores. We are not that kind of translator and do not arrange sworn translations. Hire one there, and we ship the apostilled set to them.

We can provide ATA certified translations that get notarized, for destinations that accept them. Check any other country on the HCCH status table.

Our part

What we handle, and what it costs

You give us the record type, the country and your deadline. We check the copy’s age and signer, confirm which Tennessee office should issue it, help obtain it where the state allows an authorized third party, take it through Nashville, pay the $2 and send the result abroad. ApostilleDesk shows each stage. The how it works page explains them.

Our published figures cover Massachusetts only: Economy $149.95, Express $199.95 and Rush $385.95 per document, with the state fee and return postage included. Tennessee gets its own flat-rate quote, sent after the free review confirms the state’s fee and speed and before you pay. Rush is our fastest level, Express runs 2 to 5 business days, Economy 1 to 2 weeks, and transit is extra. How quickly Tennessee moves depends on the volume at the state office. Compare on the pricing page.

How old can a Tennessee birth certificate be for an apostille?

Tennessee requires a birth certificate certified within the past two years. For marriage, death and divorce records the age rule is not stated on the pages we read, so confirm with the office, and ask the receiving authority what it accepts as well.

How much does the Tennessee apostille cost?

The Secretary of State charges $2 per document. A certified copy from Tennessee Vital Records costs $15 per copy. Those are the government fees only. The bundled route needs two separate payments, one to each office. We confirm everything in the free review.

How long does the Tennessee apostille take?

Mail turnaround is not published. In person, the state serves you the same day if you arrive by 2:00 p.m. at the Nashville office. Allow time for the certified copy and the courier on top, and ask the office for its current pace.

Where do I get a Tennessee marriage certificate apostilled?

Get the certified copy from Tennessee Vital Records or the county clerk where the license was issued, then the Secretary of State in Nashville adds the apostille. A county clerk copy is certified by the clerk. Confirm which office holds older marriages before you order.

Does a Tennessee divorce decree need a certificate or the full decree?

That depends on the receiving authority. Vital Records issues a certificate of divorce on form PH-1671, while the full decree comes from the clerk of the court that granted it. Whether a court clerk copy needs a county clerk step is unconfirmed, so ask the office.

What does a Tennessee apostille cost with your service?

We publish prices for Massachusetts only. A Tennessee order begins with a free review and ends with one flat-rate quote that you approve before paying. The state’s own fee is $2 per document. Ask us about a volume discount if you have several records.
